Contact & demo request forms — name, email, phone, company, job title, country, and your message. Used to respond to your enquiry or schedule a demo. Legal basis: our legitimate interest in responding to you, and steps taken at your request prior to a contract.

Newsletter — your email address. Used only to send the newsletter you signed up for. Legal basis: your consent, which you can withdraw at any time via the unsubscribe link in every email or the “Cookie Settings”/footer links on this site.

AI chat widget — the messages you type, and, only if you choose to share them, your name, email, phone, or address. Used to answer your question and, if you provide contact details, to follow up. Legal basis: legitimate interest for answering your question; consent for any contact details you volunteer. Your chat messages are sent to our AI infrastructure providers (Cloudflare, Pinecone, Groq — see “Who we share data with” below) to generate a response.

Site analytics & visitor tracking — pages you visit, time on page, referrer, approximate location (country), device/browser type, and a random ID stored in your browser. This only happens if you accept analytics cookies in our cookie banner. Legal basis: consent.

Admin login — applies only to our own staff logging into the admin panel, via a strictly necessary session cookie.

We use the following processors, each under their own data processing terms:

• Cloudflare (Workers AI) — processes chat messages to generate AI responses and embeddings.
• Pinecone — stores vector representations of our knowledge base and your search queries, used for the chat's retrieval system.
• Groq — powers an internal analytics assistant used by our staff; not visitor-facing.
• Brevo — sends transactional and newsletter emails.
• Cloudinary — hosts images used on this site (no visitor personal data).
• Google (Analytics, Tag Manager) — only if you accept analytics cookies.
• Discord — internal team notifications when a new chat conversation starts; contains minimal data (a session reference, not your name or email).

Some of these providers are based outside the European Economic Area (e.g. in the United States). Where that applies, we rely on Standard Contractual Clauses or an equivalent adequacy mechanism (such as the EU-US Data Privacy Framework) to safeguard your data.

We keep visitor tracking data for around 90 days, chat conversations for around 12 months, and form submissions (contact/demo requests) for around 24 months, after which they are reviewed for deletion. Newsletter subscribers are kept until you unsubscribe. Records of consent decisions are kept for up to 5 years as evidence of compliance.

Depending on your location, you may have the right to: access the personal data we hold about you; correct it; request deletion; restrict or object to processing; receive a copy in a portable format; and withdraw consent at any time (this won't affect processing carried out before withdrawal). To exercise any of these, email info@robatosystems.com. We aim to respond within 30 days. You also have the right to lodge a complaint with your local data protection authority.
